How to Organize Your Digital Archive
You’ve picked your platform—great! Now the real magic begins. Cloud storage for genealogists and the organizational techniques below should get you on your way to enable you to get set up, start sharing, and keep archiving.

Step 1: Create a Family Tree Folder Structure
Organize by generation, surname, or location. Use naming conventions like: Surname_FirstName_BirthYear_DocumentType Example: Miller_John_1878_MarriageCertificate

Use a high-quality scanner and save in TIFF or high-res JPEG formats. Always keep originals! If you don’t have access to you a scanner, use your phone. You can even buy a cheap phone mount holder to steady your phone for flawless photos!
Step 3: Tag and Describe
Include metadata or notes in your file description fields. Make it easy for someone else to understand what each file is. Quickly editing the file names is a secret weapon of mine! Do it while you’re in the moment, label the file according to name, or what is suggested in Step 1.
Step 4: Backup (Again!)

Um, yes, the unsung hero of database creation is STORAGE AND BACKUPS. I have horror stories I could tell you, take it from me, when you feel the inkling . . . back it up!
